This article explains how to resolve the error "The format of the server rules was not recognized" which prevents users from managing their rules in the Outlook for Windows desktop application.
Issue Description
When attempting to open "Rules and Alerts" in the Outlook desktop application, the user receives an error message preventing them from viewing or editing their rules. This issue often occurs after a mailbox migration (e.g., from Google Workspace to Microsoft 365) or due to a corrupted rule definition that the desktop client cannot parse.
Symptoms
- Error popup in Outlook: "There was an error reading the rules from the server. The format of the server rules was not recognized."
- Unable to access, create, or modify rules in the Outlook desktop client.
- Rules may still work in the background, but cannot be managed via the desktop app.
Affected Systems
Microsoft Outlook for Windows (Classic Desktop Client)
Resolution Steps
To resolve this issue, you must identify and remove the corrupted rule using Outlook on the Web (OWA), as the web interface is more robust and can often handle or display rules that crash the desktop client.
-
Log in to Outlook on the Web
Open your web browser and navigate to https://outlook.office.com/mail/. Sign in with your Microsoft 365 credentials.
-
Navigate to Rules Settings
Click the Settings (gear icon) in the top right corner. In the settings menu, select Mail Rules.
-
Identify the Corrupted Rule
Review your list of rules. Look for rules that:
- Were migrated from a previous email system.
- Have duplicate names or generic names.
- Are inactive or disabled.
If you have many inactive rules from a migration, these are common culprits.
-
Delete the Problematic Rule
Click the Delete (trash can icon) next to the suspected rule. If you are unsure which rule is causing the issue, try deleting recently created rules or old inactive rules one by one.
-
Verify the Fix in Outlook Desktop
Close and restart the Outlook desktop application. Go to File Manage Rules & Alerts to see if the error is gone.
Additional Information
- Outlook has a limit on the size of all rules combined (typically 256 KB). Having too many old or inactive rules can contribute to rule corruption or sync errors.
- If deleting specific rules does not work, you may need to delete all rules in OWA to clear the corruption, then recreate the necessary ones.
