If you meet the version and account type requirements but the button is still missing, here are the most common reasons.
Check 1: Your Email Account Type
This is the most important prerequisite: The built-in Report button is a Microsoft 365 security feature. It will only appear and function if your email account is a Microsoft 365 (or Office 365) account with a mailbox in Exchange Online.
The button will NOT be available for other account types you might have added to Outlook, such as:
- Google Workspace (Gmail)
- Standard IMAP or POP3 email accounts (e.g., from web hosts like GoDaddy, VentraIP, or Crazy Domains)
- Personal outlook.com or hotmail.com accounts (in a business context)
Think of it this way: the button reports threats directly to Microsoft's Defender for Office 365 security platform. It can't communicate with Google's or other providers' security systems.
Check 2: Do I Have the Right Version of Outlook?
Once you've confirmed you have a Microsoft 365 account, the built-in Report button is only available in modern versions of Outlook. Check the list below to see if your app is compatible. If your version is older, the button will not be available, and you should update your software.

Outlook for Windows (Classic Desktop App)
Note: This new built-in button started rolling out in August 2024 and will be part of the next semi-annual release. Your existing settings for Outlook on the web will be automatically applied to this new button.

* In this version of Outlook, the built-in Report button also supports reporting messages from shared mailboxes or other mailboxes by a delegate.
Scenario 1: You Are Using a Shared Mailbox (The Rules Are Complicated)
The ability to report from a shared mailbox depends entirely on which version of Outlook you are using. Microsoft's documentation has been confusing on this, but here is the definitive breakdown:
Classic Outlook for Windows
The new built-in Report button in classic Outlook for Windows does not support reporting from shared or delegated mailboxes. This is a known limitation of this specific app.
Solution: If you're in a shared mailbox using the classic desktop app, use the older 'Junk' function instead:
- Select the message.
- On the Home tab, in the Delete group, click the Junk dropdown.
- Choose Block Sender or Mark as Junk.
Outlook on the web, New Outlook for Windows, Mac, iOS & Android
These newer versions of Outlook do support reporting from shared mailboxes. For it to work, the user needs 'Send As' or 'Send on Behalf' permission for the shared mailbox.
Scenario 2: The Feature Isn't Enabled by Your Administrator
For the button to appear, two settings must be enabled for the entire organization: user reporting must be turned on, and the built-in button must be selected as the reporting method. If the button is missing for everyone, this is likely the cause. Please contact us to confirm it is configured correctly.

Scenario 3: Your Outlook Ribbon is Customized
It is possible the button was removed from your ribbon layout accidentally. You can reset it to fix this.
- In the classic Outlook app, go to File > Options > Customize Ribbon.
- On the right side, select Home (Mail).
- Click the Reset button at the bottom and choose 'Reset only selected Ribbon tab'. Click OK.
Scenario 4: You See Two 'Report' Buttons (Classic Outlook Only)
During the transition to the new built-in button, if you still have the old "Microsoft Report Message" or "Report Phishing" add-in installed, you might see two sets of reporting buttons in your ribbon.
Solution: Both buttons will send the report to the same place based on the central admin settings. However, to avoid confusion, it is best to use the new, built-in button. The older add-in can eventually be removed.
