Discover Quick Parts in Outlook
What Are Quick Parts?
Quick Parts is a handy Microsoft Outlook feature that lets you save and reuse snippets of content—think text, images, or even full email templates. It’s perfect for stuff you use all the time that doesn’t quite fit in your email signature, like standard replies, disclaimers, or promotional bits.
Why Use Quick Parts?
Quick Parts make email writing faster and smoother. With just a few clicks, you can drop in pre-made content, saving time, keeping your messages consistent, and making your workday more efficient.

Using AutoText for Quick Insertion
AutoText, a cool part of Quick Parts, speeds things up with autocomplete. Save content to the AutoText gallery, and Outlook will suggest it as you type—hit Enter to insert it fast.
Creating an AutoText Entry
- Write and select your content in a new email, just like a Quick Part.
- Go to Insert tab, click Quick Parts, then choose "AutoText" "Save Selection to AutoText Gallery."
- Name it in the dialog box and add a category if you’d like.
- Click OK to save.
Using an AutoText Entry
- Start typing the saved AutoText in an email.
- When Outlook suggests it, press Enter to insert the whole thing.
You can also insert AutoText manually: go to Insert Quick Parts AutoText, then pick your entry.
For super-fast access, add AutoText to the Quick Access Toolbar:
- Go to the Insert tab.
- Click Quick Parts.
- Right-click "AutoText" in the menu.
- Choose "Add to Quick Access Toolbar."
Now, AutoText is right at the top of Outlook for quick use.
Organizing Quick Parts with Categories
When saving a Quick Part, give it a category like "Greetings" or "Requests." To tweak them:
- Right-click a Quick Part in the gallery.
- Pick "Organize and Delete" to edit or move categories.
Adding Quick Parts to the Quick Access Toolbar
For one-click access:
- Go to the Insert tab.
- Click Quick Parts.
- Right-click any Quick Part item.
- Select "Add Gallery to Quick Access Toolbar."
The Quick Parts gallery will now sit at the top of Outlook.
Advantages of Quick Parts Over Signatures
Keeping Signatures and Content Separate
Signatures are meant for contact info or closings. Using them for other reusable content can mess up your settings and confuse things. Quick Parts handle that extra content separately, keeping signatures clean.
Smarter Organization with Categories
Quick Parts let you sort content into categories for easy finding. Signatures just pile up in one dropdown list, which can get messy fast. Macros might work but need coding skills and don’t organize themselves.
Easy to Move Across Devices
Quick Parts live in the NormalEmail.dotm file in your %AppData%\Microsoft\Templates folder. Copy that file to a new computer, and your content comes with you. Signatures might not transfer as easily, and macros often need extra setup.
No Cloud Syncing Hassles
Signatures can get tangled up with cloud features like Roaming Signatures, which might change with Office updates. Quick Parts stay local, dodging those issues entirely.
