This article guides you through the process of exporting a Microsoft 365 (M365) calendar from one account and importing it into another account within the same tenant using Outlook.
Overview
This process involves exporting the calendar data from the source account as a .pst file using Outlook, then importing it into the target account. Alternatively, you can share the calendar and copy events directly if both accounts are accessible.
Prerequisites
- Access to both the source and target M365 accounts within the same tenant.
- Outlook desktop application installed (e.g., Outlook for Microsoft 365 or Outlook YYYY).
- Sufficient permissions to view and edit the calendars in both accounts.
How to Export and Import the Calendar
-
Export the Calendar from the Source Account: Open Outlook with the source account, go to File Open & Export Import/Export, select "Export to a file," choose "Outlook Data File (.pst)," select the Calendar folder, and save the .pst file to a location (e.g., desktop).
Ensure you include subfolders if the calendar has nested events or categories.
-
Import the Calendar to the Target Account: Open Outlook with the target account, go to File Open & Export Import/Export, select "Import from another program or file," choose the .pst file, and import it into the target account’s Calendar folder.
Choose "Do not import duplicates" to avoid redundant entries.
-
Verify the Import: Check the target account’s calendar in Outlook to ensure all events have transferred successfully. The changes should sync to the cloud via Exchange Online.
Additional Information
- Exporting/importing does not resend meeting invitations to attendees; use the sharing method if this is needed.
- Both accounts must be in the same M365 tenant for seamless syncing via Exchange Online.
Troubleshooting Tips
- If events don’t appear, ensure the .pst file wasn’t corrupted during export—try re-exporting.
- If you lack permissions, ask your M365 admin to grant access or perform the transfer.
