Email delegation in Google Workspace allows a user (delegator) to grant another user (delegate) access to their Gmail account. Delegates can read, send, and delete emails on behalf of the delegator without needing their password.
Prerequisites
- Both delegator and delegate must have active Google Workspace accounts in the same organization.
- The delegator must have permission to grant delegate access.
Steps to Grant Delegate Access
- The delegator logs into their Gmail account.
- Click the gear icon in the upper-right corner and select See all settings.
- Go to the Accounts tab.
- In the Grant access to your account section, click Add another account.
- Enter the delegate's email address and click Next Step.
- Click Send email to grant access. The delegate will receive an email with a link to accept the request.
Steps for the Delegate to Accept the Request
- The delegate opens the email and clicks the link to accept the delegation request.
- Changes may take up to 30 minutes to take effect.
Additional Information
- Limits: Up to 1,000 delegates can be added. Typically, 40 delegates can access the account simultaneously; fewer for automated processes (e.g., APIs or extensions).
- Restrictions: Delegates cannot modify account settings.
- Revoking Access: The delegator can revoke access in the Accounts tab by clicking Delete next to the delegate's email address.
- Security Note: Administrators cannot set up delegation for all users; each delegator must grant access individually.
This process must be repeated for each user granting delegate access.
